Membership Terms & Conditions
Membership
Membership is required to train at Gracie Barra Roundhay Leeds. By joining the academy, members agree to comply with these Terms & Conditions, academy policies and instructor guidance. We reserve the right to refuse, suspend or terminate membership where necessary to protect the safety, wellbeing and positive training environment of our members and staff. This may include behaviour involving: Violence or intimidation, bullying, harassment or discrimination, sexual misconduct, dangerous or reckless behaviour, abusive or threatening conduct, persistent disruption to classes or operations, attendance under the influence of alcohol or drugs, serious breaches of academy policies. Any decision regarding membership suspension or termination will be made at the discretion of the Academy Manager or Head Instructor.
Membership Payments
All memberships must be paid in accordance with the agreed payment schedule. Failure to make payment may result in suspension or termination of membership access. Returned or failed direct debit payments may incur an administration fee of £12. Annual and Lifetime memberships are payable in advance unless otherwise agreed in writing.
Minimum Membership Term
New memberships are subject to an initial minimum term of 16 weeks (4 billing cycles). If joining part-way through a month, the first payment may be prorated. Following completion of the initial term, memberships will continue on a rolling monthly basis unless cancelled in accordance with these terms.
Membership Cancellation
Membership cancellations must be submitted in writing to: membership@graciebarraroundhay.co.uk
Memberships require 2 calendar months’ written notice. Members remain responsible for payments due during the notice period. Cancelling a direct debit without providing written notice does not cancel membership obligations.
Membership Changes & Freezes
Any membership upgrade, downgrade or freeze request must be submitted in writing with a minimum of 14 days’ notice (see Freeze Policy for more information). Promotional offers and introductory incentives are available to new members only unless otherwise stated.
Class Bookings
Adult members are required to book classes using the academy booking system. Failure to book may result in inability to participate in sessions where classes are full. Children will be allocated to age-appropriate classes and scheduled into the same class times each week as agreed upon becoming a member. Changes to any child’s class time must be requested in writing and in advance of any change.
Non-Member Training
Visitors and non-members may attend drop-in sessions where approved by the academy. Visitor participation is limited and subject to instructor approval. Gi hire is available for temporary use. All participants including visitors must wear the Official Gracie Barra uniform unless agreed otherwise by the Head Instructor.
Seminars & Events
Seminars, competitions and special events may require separate booking and payment. Places may be limited and priority access may be given to eligible membership categories where applicable. Unless otherwise stated, event payments are non-refundable.
Uniform Policy
Members are required to wear the approved Official Gracie Barra uniforms and training apparel during classes. Uniform requirements may vary depending on programme, rank or training type.
Parent & Guardian Conduct
Parents and guardians are expected to support a respectful, safe and positive learning environment for all children. Parents must not interfere with instruction during classes and should direct any concerns or feedback to staff after sessions have concluded. Repeated disruptive, aggressive or inappropriate behaviour may result in suspension or termination of associated memberships.
Social Media, Reviews & Communications
We encourage positive and respectful use of social media, reviews and member communication channels. Abusive, defamatory, threatening or harassing behaviour directed towards members, staff or the academy may result in removal from communication channels and, where appropriate, suspension or termination of membership. We reserve the right to report behaviour, remove content and refer serious incidents to our legal team for further action. Member WhatsApp or social groups are optional and members may leave these groups at any time. Important academy updates may still be communicated via email and internally within the academy.
Complaints & Feedback
We welcome feedback and aim to resolve concerns professionally and fairly.
Complaints should be submitted in writing to: info@graciebarraroundhay.co.uk. We reserve the right to cease communication where behaviour becomes abusive, threatening or unreasonable.
Changes To These Terms
Gracie Barra Roundhay Leeds reserves the right to update these Terms & Conditions where necessary. The latest version will always be available through the academy website or upon request.
Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the jurisdiction of the courts of England and Wales.
